Workflow Automation Overview

1. Overview

CollabZ is a module within the BrainZ platform, designed to automate business processes using a workflow model. It enables users to build processing flows from simple to complex by connecting tasks in a logical sequence, helping standardize operations, reduce manual work, and increase execution speed.

CollabZ is built to achieve the following key goals:

• Digitize and automate processes: Convert manual tasks (sending emails, generating reports, updating systems, approvals, data aggregation, etc.) into automated flows.
• Standardize business operations: Ensure departments and users follow the correct process, sequence, and input-output data.
• Reduce errors and save time: Minimize mistakes caused by manual operations and shorten repetitive processing time.
• Connect systems and data: Act as a bridge between internal/external applications and data sources through integration nodes.
• Increase operational capability with AI: Combine AI nodes for analysis, extraction, summarization, classification, and context-aware decision support.

3. Digital Workflow

3.1. Overview

The home screen provides quick access to modules. The Workflow utility allows users to quickly open workflow management.

• Action: Select Workflow from the left menu or click the Workflow card on the home screen.

After opening Workflow, the management screen shows existing workflows and supports search, filtering, and creation. It includes two functional pages: Workflow and Workflow Groups.

The Workflow Groups page manages workflow groups by department/team. Each group card shows basic information such as group name, number of workflows, last updated time, and creator.
